Event and Project Coordination Services

The Poultry Industry Council (PIC) is seeking new revenue streams for the organization. We have expertise in event and project management, and we feel we can offer these skills to our members/clients. As such, PIC is now providing education, extension services, and event and project coordination and has developed several options to accommodate varying requirements:

A – Project Coordination

Services may include the development of training materials, co-ordination of educational services, and event planning. Fees for project coordination services will be negotiated on a per project basis.

B – Event Planning

Services and fees quoted for event planning are for one day events with a maximum of 100 attendees. Larger and multiple day event services will be negotiated on a per event basis. Please note that travel expenses for PIC staff and bank charges for on-line registration payments are not included in the cost and will be invoiced as an additional charge.

B. 1)  Co-ordination of Events – Starting at $1,000

PIC will provide event services on a contractual basis for our members / clients. This type of event is not branded or advertised by PIC. Services include:

  • Sourcing venue / arranging set-up
  • Catering sourcing / arrangements
  • On-line Registration and on-line payment processing if applicable
  • Full registration list – sign in sheet
  • Supplying of name tags
  • Booking hotel accommodations
  • Budget tracking

Co-ordination of Event plus day of service – $75 / hour

  • Assistance with set up and take down
  • Staffing of registration table
  • Troubleshooting for venue and suppliers
  • Fee collection and reconciliation

B. 2) Co-Hosting of a PIC Industry Wide Event – Starting at $3,000

A Co-hosted event includes any Industry wide event that would be hosted by PIC and a member / client. Co-Hosting with PIC allows the client to utilize PIC’s extensive contact list, industry connections, and experience in education/extension activities and event management. In addition it will reduce the time requirement of client staff that would be needed to host an event alone. PIC would organize topics and speakers with the exception of one feature speaker provided by the member / client, at the client’s expense. All Proceedings materials will be co-branded, developed and printed by PIC. Advertising would consist of the client’s media sources as well as PIC newsletter, e-blast and website. PIC will still seek other appropriate sponsors to offset the cost of the venue and materials. PIC will also provide the following:

  • Planning and execution of the event, including:
    • Agenda preparation;
    • Speaker booking (with the exception of the member/client’s speaker);
    • Venue and/or catering;
    • Registration, and
    • Printing of event materials.
  • Moderated by a PIC representative

Co-Hosting of a PIC Industry Event with Exclusive Sponsorship – Starting at $6,000

The services provided in the Co-Hosted event applies for an exclusive sponsored industry event, however the member / client would be the only sponsor of the event. The additional benefits are: seminar recognition as the sole sponsor; and free registration of up to 10% of sponsorship for client / member’s attendees.
